Tips for Becoming an Exceptional Administrative Person

The question is how you can become an exceptional admin. To be exceptional one must go beyond mediocrity. Good enough is simply, not good enough in this ever changing competitive world. Here are some tips that may help you go beyond a poor admin and excel into an exceptional one.

Work with your boss. Build a partnership with your boss. Observe what s/he likes and dislikes. Ask your boss how would they like things done. Keep data of who your boss talks to and who those people are. Be proactive and try to anticipate his/her needs and possible situations where things may not go as you might have planned. Keep your boss informed and build a trust. Knowing your boss on a more personal level will allow you to tailor your work habits to fulfill their needs.

Provide outstanding customer service. Look at who your customers are. You may have external clients as well as internal e.g. your boss, co workers and company. When you finish a task or a job, make sure it meets your boss’s expectations. Format your documents and reports as per company standards. When making travel arrangements, possibly include a list of restaurants and emergency numbers of the area your "client" is traveling. Keep your promises in all manners. Don't simply complete the task. Go the extra mile when you can.

: Active listening focuses the attention on the speaker. Give your full attention to the speaker. Don't interrupt or jump to conclusions. Paraphrase what you have heard. If you are unable to understand a point or an issue, ask them to clarify. Ask questions to gain clarity. Keep focused. Listen to what is being said, not what you think is being said. Listen attentively then respond with your comments and feelings.

Continuous learning & development: Learning is not about going back to school. Develop a habit of reading. Read up on the newest happenings in your area of interest and your industry. Make it a habit to read the newspaper and stay current on world events but make sure you do it on your own time. Attend a seminar or conference. Take a college course that can help you progress in your career. With a world that is constantly changing, to be exceptional we must keep ourselves apprised on what is going on around us and how to handle what might be coming in the future. The only way to accomplish this is through continuous learning and education.

Positive Thinking: “We are what we repeatedly do. Excellence, then, is not an act, but a habit." - Aristotle. Make it your habit to be the best you can be in whatever you do whether in your personal or your professional life. Take pride in your appearance and like who you are. Smile a lot. Try to look at the positives in what you do in your job and your life. Remember, your outlook and attitude reflects on how others perceive you and your abilities.

Being exceptional is encompassing. Achieving excellence in one area of your life will not make you an exceptional administrator. It takes a well balanced effort in all aspects of your job, both personal and professional. Each person will have their own roadmap for success. Take a moment to create your own personal list of tips to become the exceptional administrator you can be.
